Managing Volunteers

The Volunteers page is your central hub for reviewing signups, approving or rejecting volunteers, and managing assignments.

How Volunteers Sign Up

Volunteers can sign up in two ways:

  • Signup link - Share the dedicated volunteer signup link on your event website or anywhere else. Volunteers who sign up this way can scan and sell tickets, sell concessions, and send messages through the app.
  • QR code - Click "QR code" in the info alert to display a scannable QR code. Volunteers who join through the QR code can scan and sell tickets and concessions, but cannot send messages.

You can download the QR code image to print or share digitally.

Volunteers Table

The table shows all volunteers with these columns:

  • Name - The volunteer's name (clickable link to their detail page).
  • Phone - Contact phone number.
  • Email - Email address.
  • Task Type - Job or Equipment.
  • Task Name - The assigned task.
  • Qty - For equipment tasks, shows the quantity committed. For jobs, shows "--".
  • Notes - A check icon if the volunteer provided notes, otherwise empty.
  • Status - Accepted, Pending, or Rejected.
  • Actions - Pencil icon to edit, trash icon to delete.

Filtering by Status

Three tabs above the table let you filter volunteers by status: Accepted, Pending, and Rejected. Each tab shows a count of volunteers in that status. The page defaults to the Pending tab if any pending volunteers exist.

Searching

Use the search bar to filter by volunteer name or task name. Searches are case-insensitive and match partial text. The search works alongside the status filter tabs.

Sorting

Click the Name or Status column headers to sort the table. Click again to reverse the sort direction.

Exporting

Click Export to download all volunteer data as a CSV file named "volunteers.csv".

Editing a Volunteer

Click the pencil icon to open the edit modal. The volunteer's name, phone, and notes are shown as read-only. You can change:

  • Task - Reassign the volunteer to a different task using the dropdown.
  • Status - Change to Accepted, Pending, or Rejected.
  • Rejection reason - If you set the status to Rejected, a text field appears where you can provide a reason.

Click Save to apply changes.

Viewing Volunteer Details

Click a volunteer's name to go to their detail page. This page shows the volunteer's full contact information, assigned task, and notes.

If the volunteer's status is Pending, approval buttons appear:

  • Accept - Immediately sets the volunteer's status to Accepted.
  • Reject - Opens a confirmation modal where you can optionally provide a rejection reason. The volunteer is notified of the decision.

If the volunteer has already been accepted or rejected, their current status is displayed instead.

Deleting a Volunteer

Click the trash icon on any row. A confirmation modal asks you to confirm deletion by showing the volunteer's name. Click Delete to remove them.
