Setting Up Group Schedules
Group schedules (checkpoints) let you define time-relative tasks that each performing group follows on event day, like arrival times, warm-up slots, and staging calls.
Accessing Group Schedules
From your event dashboard, go to Schedules > Group Schedules in the sidebar.
How Group Schedules Work
Rather than giving each group a fixed schedule, you define checkpoints relative to their performance time. For example, "Arrive at stadium 60 minutes before performance" or "Report to staging 15 minutes before performance." Marching Maestro then calculates the actual times for each group based on their scheduled performance.
Groups can view their personalized schedule in their Marching Maestro account, with all checkpoint times calculated for them.
Adding a Checkpoint
- Click Add Checkpoint.
- Fill in the fields:
- Scoring Round (required) - Select which scoring round (group) this checkpoint applies to.
- Minutes (required) - Enter the number of minutes (minimum 1).
- Before / After Performance - Toggle whether this checkpoint is before or after the group's performance time.
- Item Text (required) - The description of the checkpoint. Example: "Arrive at stadium".
- Click Add Checkpoint to save.
How Checkpoints Are Displayed
Checkpoints are automatically sorted by scoring round, then by time offset (earliest to latest). When a registrant views their personalized schedule, each checkpoint shows the calculated time based on their specific performance time.
For example, if a group performs at 2:00 PM and has a "60 minutes before" checkpoint, they'll see that checkpoint at 1:00 PM.
Editing and Deleting Checkpoints
- Click the pencil icon to edit a checkpoint's details.
- Click the trash icon to remove a checkpoint.
Saving Changes
After making changes, a save bar appears at the bottom. Click Save to apply your changes, or Cancel to discard them.
Tip: You can create different checkpoints for different scoring rounds. For example, a preliminary round might have different staging times than a finals round.
